Collection, Use and Disclosure of Personal Information
Scope of this Privacy Policy
We are committed to protecting your privacy, and support a general policy of openness about how we collect, use and disclose the information that you provide to us.
This Privacy Policy provides an overview of our business and explains how we collect, use and disclose the information that we collect, and the information that we publish in our paper and online publications.
About Us
p.r.n. Publishing specializes in publishing healthcare related documents in print and web-based form. Our anchor publication is p.r.n. Directory, an annual information and reference resource for the Canadian pharmaceutical industry. Its companion publication is p.r.n. Update, a newsletter that keeps p.r.n. recipients up-to-date between editions of the Directory. We also occasionally publish other healthcare related publications.
An Overview of Our Business
p.r.n. Directory and p.r.n. Update are provided at no cost to marketing, promotion and other employees of Canadian pharmaceutical companies. The production of the Directory is funded by advertising revenue from companies in various sectors, who wish to offer their goods and/or services to Canadian pharmaceutical companies through advertising in p.r.n.
Our Collection Practices
The majority of data collected and published in p.r.n. is in the public domain: names, phone and fax numbers and addresses of companies. We primarily collect your personal information from the following sources:
- directly from you in response to any dealings we have with you
- public records such as print and online media
Information We Collect
We limit our collection of personal information to include only what is necessary to allow us to identify appropriate recipients of the Directory.
We also collect and store contact information for designated employees of non-pharmaceutical companies who may be advertisers or suppliers of goods and services in the pharmaceutical industry.
We collect:
- Company information: Company name, address, telephone number(s), fax number(s), website address(es), general e-mail address(es), and designated contact person(s) within the company. In the case of advertisers or potential advertisers, we also collect descriptions of product(s) or service(s) provided by the company.
- Employee information: Employee name, name and address of employer, telephone number(s), fax number(s), and, when provided, job title and personal e-mail address(es).
How We Use Your Information
We use your personal information in the following circumstances:
- To identify which pharmaceutical employees have job duties that suggest they may use p.r.n. in their work.
- To contact appropriate employees within goods and services companies regarding advertising opportunities which may be of interest to them.
- From time to time, we supply name and postal address only to contact industry members on behalf of carefully screened organizations such as PAAB (Pharmaceutical Advertising Advisory Board), who wish to alert recipients about a product or service that might be of interest.
We do not release your e-mail address, telephone or fax number(s) without your prior consent.
- We may provide anonymous information (i.e. information that does not identify individual people) in the form of aggregate or demographic data to carefully selected organizations such as PAAB.
- We may share limited personal information with third parties engaged to assist us in providing services and information to you, such as personalizing each cover of p.r.n. with each recipient’s name and company name. These service providers are prohibited from using personal information for any purpose other than to provide this assistance and are required to protect personal information disclosed by p.r.n Publishing Inc and to comply with the general privacy principles described in this Privacy Policy.
Incorrect or Out-of-Date Information
We periodically update and review the data in our database to ensure, within the limits of the tools at our disposal, that it only contains information relevant to the services we provide, and that the information is current and accurate. Although we strive for complete accuracy, we recognize that this may not always be possible. We welcome receiving information from you that will update or correct any incorrect or incomplete information we may have.
Our Accountability
We have appointed a Privacy Officer to oversee and ensure our compliance with the privacy principles established by the federal PIPEDA Act, and with provincial privacy legislation. We also continually foster a sense of responsibility amongst our employees for protecting the privacy and accuracy of your personal information. Upon being hired, each employee is trained in the importance of protecting your personal information, and on the requirement to do so at all times.
Our Safeguarding Practices
We take the protection of personal information seriously. We have adopted procedures to secure storage of personal information and are committed to protecting the security of personal information during any transfer to or from us. p.r.n Publishing Inc uses firewall technology to protect its data from would-be intruders and has different processes in place to secure information such as passwords, encryption, antivirus software and physical security measures.
Third parties have obligations to you when accessing information from us. We have processes in place to ensure they comply with our policies, including entering into binding agreements stating that they will use the information provided to them only for the purpose stated, that they will not retain, copy or manipulate the data provided to them in any way, and that they will ensure that any of their employees who have access to the information are aware of, and comply with our requirements.
